It is the job of transferring and storing documents, books, correspondence, bound documents and all similar documents physically in the archives of companies and institutions to the computer environment by systematically scanning them in line with a pre-prepared plan and program, subjecting them to data entry. This Service is also known as Office Service.

A standard Digitization Service consists of the following steps:

  • Document Entry: It is the first step in which all the digitization history and index information of the incoming files are included in the system by editing the barcode labels. It can also be defined as the tag of the file.
  • Document Classification: Files entered into documents are transferred to the sorting unit, and materials such as staples and paper clips that may cause problems in scanners are removed. It is to place separators between different separated documents, to arrange the documents and make them ready for scanning in a way that they can easily pass through the scanner.
  • Document Scanning: Organized documents are scanned with automatic paper-fed professional document scanners that can scan up to A3 size at high volume per minute and are transferred to the computer environment. These scanners have features such as double paper pass prevention/detection, duplex scanning, and automatic image enhancement. In addition, for hardcover books and documents with historical value, photographing using book scanners, sheets and drawings are digitized using A0 scanners.
  • Image Enhancement: Algorithms are applied to improve the quality of images during scanning. These operations are performed by defining the desired parameters without the need for re-scanning, either software or with image processing cards.
  • Indexing: In this step, search/classification criteria for documents are entered. These criteria are; It may contain information such as file number, customer name, customer number, document type, document number, document date. The processes of combining the pages and separating the documents from each other on the digital versions of the documents that have passed the document scanning are also done at this stage.
  • Quality Control: Various errors may occur due to the processing of a large number of documents in a fast and short time. It is not possible to access the documents entered or scanned incorrectly in the data from the computer environment, therefore it is imperative that the data and documents are transferred without errors. Possible errors in the quality control phase; It is determined by the quality control processes applied separately after the scanning and indexing processes, it is passed through the necessary stages and corrected.
  • Document Collection: Files with quality control are collected and filed by the collection team as they come from the institution and made ready for return.
  • Transfer: The digitization process is completed by saving the scanned, image processed and data entered documents to the document archive systems.
  • Document Return: The physical state of the collected file is delivered to the institution together with the return label by making the necessary entries in the return unit.
